Registration

A cost-effective three-step process

Registration involves three steps. Follow the steps below.
Step 1: Complete the registration form

Registration Form,” fill it out, and submit.
Step 2: Buy your ticket
Click “
Buy Tickets,” choose the appropriate ticket, add it to your cart, and follow the on-screen guidelines. You will be shown our bank transfer details. We use bank transfer only to keep registration costs low.
Step 3: Pay by bank transfer and confirm
Complete the bank transfer. If you still need the payment details, click “
Bank Transfer” in Step 3 to view them again. Read the bank transfer guidelines carefully. If the reference is not written exactly in the required format, our finance team may not be able to track your payment. Make sure you click on the bank transfer link and review all guidelines before making the transfer. Once the payment has been made, send the proof of transfer to the Secretariat. We will then confirm your payment via email.

Note: We will send an invoice after Step 2, but it may take up to two days. If you do not require an invoice, you may proceed directly to Step 3 (bank transfer). Contact us if you need an official payment receipt.

Visa Information

Participants who require a visa to enter the Netherlands should begin the application process as early as possible, as processing times may vary by country.

If you need an invitation letter or any supporting documentation for your visa application, send a written request to the Secretariat at iobc-greenhouse-wgm2026@wur.nl. Include your full name, affiliation, passport details, and proof of completed registration. We will provide an official invitation letter and, when appropriate, we will also contact the Dutch embassy or consulate in your country to help facilitate the process.

All participants are responsible for ensuring that their travel documents comply with Dutch immigration requirements. We recommend verifying the specific visa rules and appointment availability at your local Dutch embassy or consulate well in advance.

The conference organizers cannot intervene in decisions made by immigration authorities, and participation remains subject to each attendee securing the required visa in time.

Terms and Conditions for Registration and Participation

Acceptance of Conditions
By registering for the 18th IOBC-WPRS Working Group Meeting on Integrated Control Protected Crops - Temperate Crops, organized by the Business Unit Greenhouse Horticulture & Flower Bulbs of Wageningen University & Research, participants agree to the following Terms and Conditions.

1. Registration: Registration becomes valid once the online registration form has been submitted and the registration fee has been paid within 14 calendar days.

2. Accompanying persons: Accompanying persons are required to register (there is a special ticket for the accompanying persons).

3. Prices and payments: Payment is possible only by bank transfer. This method avoids additional charges from payment providers and external platforms. All fees are listed in EUR. Registration is confirmed only once payment has been received by Wageningen Plant Research. The organizers reserve the right to refuse entry to any person who has not paid their registration fee. Participants must provide all required information requested in the online registration form.

4. Cancellation: Cancellation requests must be submitted in writing by e-mail to the conference Secretariat at iobc-greenhouse-wgm2026@wur.nl. Refunds will be transferred to the bank account of the original payer within four weeks of approval. For bank transfers outside the Netherlands, all bank charges are the responsibility of the recipient.

4.1 Cancellation before 30 April 2026: Cancellations received on or before 30 April 2026 will be fully refunded, minus any bank transfer fees.

4.2 Cancellation from 1 May to 30 June 2026: Cancellations received from 1 May to 30 June 2026 will be refunded at 50%, minus any bank transfer fees.

4.3 Cancellation from 1 July 2026: Cancellations made on or after 1 July 2026 are not eligible for a refund. The full registration fee remains due.

4.4 Cancellation due to visa refusal: If a participant’s visa application is refused, the registration fee will be refunded minus a handling fee of EUR 85 per participant. An official visa refusal document is required. Requests must be submitted in writing via an email to the conference Secretariat and received no later than 14 calendar days before the start of the conference. Requests received after this deadline are not eligible for reimbursement.

5 Absence: Absence from the event does not qualify for a refund.

6 Participant Substitution: If a registered participant cannot attend, another person from the same organization may replace them with prior approval from the Secretariat. Requests must be made in writing by e-mail with confirmation of receipt to iobc-greenhouse-wgm2026@wur.nl. Substitutions cannot result in a reduction of the registration category or fee. If substitution is not possible, the cancellation rules above apply.

7. Reprogramming or Modification: Wageningen University & Research reserves the right to reschedule the conference, change the venue, adjust the program, or replace speakers if necessary due to circumstances beyond its control. Such changes do not entitle participants to compensation or reimbursement.

8. Liability and Insurance: Registration fees do not include the insurance of participants against personal accidents, sickness and cancellations by any party, theft, loss or damage to personal possessions. Participants are advised to take out adequate personal insurance to cover travel, accommodation, cancellation and personal effects.
